Step by Step Guide to Complaints

Complaining about a Society or conduct within a Society?

Society members have the right to raise complaints about issues that might affect the Society. These might include the following:

  • The safety of activities
  • Poor standards of instruction or leadership
  • The standard of equipment used for activities
  • Poor Society administration
  • The lack of suitable activities for their level of participation
  • Disregard to the UCB Guild Equal Opportunities Policy, and or other Guild policies.

Complaints should initially be addressed to the Society Committee. 

If this does not prove satisfactory, a written complaint should be made to the Lead Officer.

A reply should be received within 10 working days. 

If this reply is unsatisfactory, then a written complaint should be made via the UCB Guild Complaint Form, where the complaint will be dealt with under the UCB Guild Complaints Procedure.

 

Complaining about the Guild?

Any member of the Guild shall be entitled to complain if they are dissatisfied in their dealings with the Guild, or feel they have been unfairly treated.

Complaints should usually fall under one of the following categories, noting this is neither exhaustive nor exclusive:

  • Cost, quality or delivery of facilities, services or activities provided by the Guild;
  • Treatment of a student or group of students by the Guild;
  • Actions contrary to the Guild’s Constitution or Bye Laws;
  • Breaches by the Guild of statutory or regulatory requirements.

A written complaint should be made via the UCB Guild Complaint Form, where the complaint will be dealt with under the UCB Guild Complaints Procedure

 

Complaining about a student member?

The Guild shall consider complaints made by any person against any member in respect of misconduct, unacceptable and/or inappropriate behaviour. This covers incidents occuring at events or activities organised by the Guild and/or Guild societies, either on University premises or elsewhere.

In the case of certain instances, such as harassment, additional support and guidance on support services will be provided. Arrangements may also be made to ensure the complainant does not come into direct contact with the respondent.

A written complaint should be made via the UCB Guild Complaint Form, where the complaint will be dealt with under the UCB Guild Complaints Procedure.

 

Complaining about a Guild Officer?

Guild Officers hold democratic roles as well as working on the day to day operation of the Guild. If a complaint is of a democratic nature, this will need to go through the democratic processes of the Guild rather than through our complaints procedure. If you are unsure, please get in touch with a Guild staff member and we can advise.

Complaints of misconduct will be dealt with under employee procedures. 

Again, in the first instance, a written complaint should be made via the UCB Guild Complaint Form, from which an External Trustee will be able to determine the best route for the complaint.

 

Complaining about a Guild staff member?

Any complaint about a member of Guild staff should be made via the UCB Guild Complaint Form.

Any complaints made by a student member about any service delivered by staff will be treated as a complaint of dissatisfaction in their dealings with the Guild, and therefore handled through the Guild complaints procedure as a complaint against the Guild itself.

If, in the course of considering or investigating the complaint, the Guild Director or their nominee have reason to believe that the conduct or behaviour of an employee may justify further consideration under our employee procedures, the matter will be referred to the relevant body.
